Privacy Policy

Updated: September 1, 2026 RTO 46587

How Urban Skin Academy collects, uses, stores and discloses your personal information, both as a student and as a visitor to this website.

Privacy Policy

Urban Skin Academy will follow the Australian Privacy Principles of the Commonwealth Privacy Act 1988 in the management of all student and staff information, however, allowing access to all information as required by relevant National and State Training Authorities for the purpose of monitoring and/or auditing Urban Skin Academy’s operations as an RTO.

The purpose of the privacy policy is to:

  • describe the types of personal information that the organisation collects, holds, uses and discloses;
  • outline the RTO’s personal information handling systems and practices;
  • enhance the transparency of the management of personal information;
  • explain the RTO’s authority to collect personal information, why the RTO may hold it, how it is used and how it is protected;
  • notify whether the organisation is likely to disclose personal information and, if so, to whom;
  • provide information on how personal information can be accessed, correct it if necessary and complain if you believe it has been wrongly collected or inappropriately handled.

See the Privacy Policy for more details.

Student Records

All student records are subject to the RTO’s Privacy Policy and RTO Reporting and Records Management Policy. However, students may reasonably access their files by notifying the organisation. The management will endeavour to give students prompt access to their own files where reasonable notice is given.

Urban Skin Academy will provide students with timely access to their participation and progress throughout the training course.

Procedure

  1. Students are able to view their grades, trainer feedback and the list of completed units via the student Portal. For any other requests on their course progress students are to contact student support by admin@urbanskinacademy.com.au. Students must list their full name, date of birth, address, course enrolled and Student ID.
  2. Alternatively, students can send a written request to: Ground Floor of Little Saigon Plaza 462 Chapel Road, Bankstown NSW 2200 .
  3. Students will receive notification that the request has been received, and the RTO may contact them to obtain further information.
  4. The RTO will then issue a letter of confirmation outlining student results for the course within 7 working days of receiving the request. Students will receive this information by email.

Record Keeping Policy for Assignments and Student Information

Urban Skin Academy has effective administrative and records management procedures to ensure student data is securely maintained. Enrolments, student records, qualifications, and Statements of Attainment are entered into the Student Management System (SMS/LMS) and archived electronically for at least 30 years. These records will remain accessible and, in the event of RTO closure, will be forwarded to a suitable site. All organisational documents and emails are stored on a secure system network (server) with regular backups.

Assessment results are recorded in the SMS/LMS and stored in the student’s training file. Physical assessment paperwork is secured in a lockable cabinet for two years before being archived. Electronic copies are retained in the SMS/LMS for at least two years after a student ceases enrolment. The organisation also maintains secure records of course payment receipts, enrolment confirmations, and financial transactions, which are available upon request.

The organisation ensures all essential student data is securely stored, including course progress, attendance, provider transfer requests, complaints, appeals, course credit, deferments, enrolment variations, and assessment outcomes. Personal details, including current residential address, contact details, and tuition payments, are also recorded in accordance with the Privacy Policy. Copies of written agreements and outstanding fees are securely maintained, along with details on fees for student record access.

Information we collect through this website

The sections from here to the end are about website visitors and are not part of the Student Handbook.
The handbook covers how we handle student records. These sections cover what happens when you browse this site or send us an enquiry.

When you submit an enquiry form on this website we collect your name, email address, phone number and anything you write in the message field. We use that information only to respond to your enquiry, to send you the course information you asked for, and to follow up with you about it.

We do not sell your personal information. We do not share it with third parties for their own marketing.

If you go on to enrol with us, the information you have given becomes part of your student record and is handled under the privacy commitment above and under our Student Handbook.

If you enquire and do not enrol, you can ask us to delete your enquiry at any time by emailing admin@urbanskinacademy.com.au.

Cookies and analytics

This website uses cookies. Some are necessary for the site to work, such as remembering what you have put in a form. Others help us understand how visitors use the site so we can improve it, by telling us things like which course pages are viewed most often and how people arrived at the site.

Analytics information is aggregated. It tells us patterns across many visitors rather than identifying you personally.

You can block or delete cookies through your browser settings. Parts of the site may not work properly if you do.

Advertising

We advertise our courses online. Advertising platforms may place a cookie or similar technology on your device so that we can measure whether our advertising is working and, in some cases, show you our courses again after you have visited this site.

You can opt out of personalised advertising through the settings of the relevant platform or through your browser and device privacy controls.

Accessing or correcting your information

You can ask to see the personal information we hold about you, and ask us to correct it if it is wrong. Email admin@urbanskinacademy.com.au or write to us at Ground Floor, Little Saigon Plaza, 462 Chapel Road, Bankstown NSW 2200. Please include your full name, date of birth and, if you are or were a student, your course and student number so we can identify your records.

Some records we are required by law to keep for a set period, including student records under our obligations as a registered training organisation, so we may not be able to delete everything on request. We will tell you if that applies.

Privacy complaints

If you think we have mishandled your personal information, contact us first at admin@urbanskinacademy.com.au and we will investigate and respond to you.

If you are not satisfied with our response, you can take the matter to the Office of the Australian Information Commissioner, the independent regulator for privacy in Australia, at oaic.gov.au. Making a privacy complaint is free and will not disadvantage you in any way.
